Confirm Which Client Is Selected

The Client Header at the top of the present page displays information in the red-framed yellow box about the Client currently selected:  the Client's name (1, above), Primary ID (2) and date of birth (3).

The present JIFF - Assessment Setup page is listed as an option under the "Start Assessments" link in the tan-colored box below the Assessment Header, among the User's "Client Options".  For help navigating these options, continue reading here.

View the Selected Client's JIFF® Episodes and Assessments

The Assessments of a Client can be viewed on the present page, organized by Episode.

NOTE: An Episode will stay open even if a Client's Case has become inactive:  a recent (non-Initial) Assessment in an otherwise inactive Case will not start a new Episode.

Your Client's Assessments can be deleted by a Business Administrator.  If you are not able to find a Client's Assessment, check with your Business Administrator.


Sorting the Assessment Listing

Assessments in the listing are organized by Episode, and Episodes are formatted as tabs, that can be expanded or retracted like the Left Navigation Bar tabs.

To expand or retract the listing by Episode, click on the box to the immediate left of the Episode as identified in the dark blue bar. (See below.)

The Assessment Listing can be sorted by Assessment Date, Administration, Source (Youth or Caregiver ) or Assessment Status.

Click on the corresponding column header by which you wish to have the listing sorted. (See below.)

A small white arrow will appear next to (or underneath) the column header you just clicked, indicating whether the list is being sorted in ascending or descending order by the attribute selected. (See below.)

To sort in reverse order, click on the same column header a second time, or on the small white arrow.

To return to the default order, click the column header a third time.

NOTE: Assessments are only sortable within their respective Episode tabs.  All Assessments in the listing are always ordered first by Episode, and the order of the Episodes themselves also does not change.

View the Selected Client's CAFAS®, PECFAS® or CWL® Episodes and Assessments

The Find Assessments page is tabbed by Measure:

Click on the tab corresponding to the Measure for which you wish to find Assessments for the selected Client.

Amend a JIFF®

NOTE: A completed Assessment may be amended only one time.

A JIFF® whose status is "Completed" and which has not yet been amended can be amended one time.  The option to amend can be selected from the JIFF® - Select Goals, JIFF® - Assign Services or JIFF® - Service Plan pages.

To access this page:

  1. Click the document icon to the immediate left of the Assessment you wish to amend:

  1. Click the "View/Edit Plan" link.  (See above.)  This will take you to the JIFF® - View Interview Findings page.

  2. Click on the "Select Goals, Assign Services and Mark Complete" link near the top of this page:

This will take you to the JIFF® - Select Goals page.

  1. Click on the "Amend Plan" link.

This will take you to the Amend Confirmation page.

Restart an Interrupted JIFF®

If a JIFF® was started by a Respondent but not completed, the Assessment's status will be "Interrupted".

You will be alerted upon login as to any Assessment you started that was recently interrupted.  The alert message will look like this:

To restart the Assessment, click the "Launch Assessment" link.

NOTE: In such alerts, the Client is identified by his or her initials, to protect his or her privacy in case there is another Client present who can see the computer screen.

To restart an Interrupted Assessment:

  1. Click on the document icon to the immediate left of the Assessment you wish to continue.  A shadowbox will appear over the present page containing several link choices.  (See below.)

  1. Click on the "Restart Interrupted" link.

NOTE: an Interrupted JIFF must be restarted within 24 hours, an Interrupted CWL restarted within 14 days.  After that time, the Assessment will become locked, and the "Restart Interrupted" option will no longer be active:  a new Assessment will have to be created instead.

Create a Plan

A JIFF® with which a Youth or Caregiver is done but for which a Plan is not yet created will have the status of "Plan Not Started".  (See image below.)

A Plan may be created as part of such an Assessment beginning at the JIFF Summary page.

To access this page:

  1. Click on the document icon to the immediate left of the Assessment for which you wish to create a Plan. A shadowbox will appear over the present page containing several options. If the Assessment's status is "Plan Not Started", then the "Create Plan" link will be active. (See below.)

  1. If the link is active, click on it to create a Plan.  (See above.)

I have a Youth or Caregiver who is done with a JIFF®, and I have not started selecting Goals or assigning Services yet, but the "Create Plan" link in the document icon shadowbox is not active. What's the problem?

Linking to the JIFF® Summary page for the relevant Client and Assessment after he or she is done with the JIFF® in question will register with the system as having "created the Plan", even if no further action is taken.  This will be apparent in the Assessment's status, which will be "Unfinished" rather than "Plan Not Started".  In other words:  the Plan for an "Unfinished" Assessment already exists, so selecting Goals and/or assigning Services for it amounts to editing the Plan, not creating it.  To edit the Plan, click on the "View/Edit Plan" link in the document icon shadowbox.

View/Edit a Plan

  1. Click on the document icon to the immediate left of the Assessment you wish to view.  A shadowbox will appear over the present page containing several link choices.  (See below.)

  1. Click on the "View/Edit Plan" link. (See above.)

A JIFF® Service Plan that has been started but not completed will have a status of "Unfinished" (see above), and may be viewed or edited starting at the JIFF® - Select Goals page.

A JIFF® Plan that is locked or completed can be viewed but not edited.

A JIFF® will become locked under the following circumstances:

  • if an Assessment has been amended one time;

  • if an interrupted JIFF® has not been resumed and all its questions answered by the respondent (Client or Caregiver) within 24 hours of the interruption;

  • if ten or more questions were skipped in the interview; or

  • if the Caregiver Assessment has been integrated into the Youth Assessment.

Although a completed Plan may not be edited as such, but it may be amended one time.

View JIFF® Summary Report or JIFF® Service Plan Report

NOTE: Clerical Case Trackers can not view Assessment Reports.

The JIFF® Summary Report and JIFF® Service Plan Report are accessible at the JIFF® Summary and JIFF Service Plan pages, respectively.

To access these pages from the present one:

  1. Click on the document icon to the immediate left of the Assessment whose Plan you wish to view or edit.  A shadowbox will appear over the present page containing several link choices. (See below.)

  1. Click on "JIFF Summary Report" or "JIFF Service Plan Report" to view these reports. (See above.)

Delete an Assessment

NOTE: Only a Business Administrator can delete an Assessment.

A deleted Assessment cannot be un-deleted.  If an Assessment is deleted accidentally, the User will have to create a new Assessment.

Deleted Assessments do NOT appear in Data Exports.  Deleted assessments DO appear in Web Service calls.

NOTE: If an Initial Assessment that triggered the start of a new Episode is deleted, the new Episode remains in effect.

To delete an Assessment:

  1. Click on the document icon to the immediate left of the Assessment whose Plan you wish to delete.  A shadowbox will appear over the present page containing several link choices. (See below.)

  1. Click on "Delete Assessment". (See above.)

View Amendment History

The Amendment History outlines details of the first and last versions of an Assessment that has been amended. Both pre- and post-Amendment versions of the Assessment will appear as entries in the Assessment listing. The amended version will have a status of "Completed (Amended)".

To view an amended Assessment's Amendment History:

  1. Click on the document icon to the immediate left of the amended version of the Assessment whose Amendment History you wish to view. A shadowbox will appear over the present page containing several link choices. (See below.)

  1. Click on "Amendment History".  (See above.)  The Amendment History will appear as another shadowbox over the present page.  After viewing its contents, click Cancel or Close.

Navigate Other Options for Selected Client

Links to Client Options (i.e. pages for which a specific Client is already selected) appear in the lower, tan-colored box of the Client Header (items 1 thru 5):

You can start a new Assessment for the selected Client by clicking the "Start Assessments" link (1, above), and then selecting a Measure.

(You are currently on the Find Assessments page, so item 2, above, will be inactive.)

On the Edit Client page you can:

To access the Edit Client page, click the corresponding link (3, above).

To view the selected Client's Client Dashboard, click the corresponding link (4).

Finally, if you are a Business Administrator and want to view the selected Client's Transfer History, click that link (5).
