The Supervisor Dashboard is also discussed in our Advanced Help guide for supervisors, which has less of a step-by-step emphasis and is more focused on teaching you to get the most out of FAS Outcomes and leveraging the system to optimize client outcomes. Narrow or Expand the Scope of Data Shown

NOTE: Only Business Administrators can view the Supervisor Dashboard.

By default, the Supervisor Dashboard will show Assessment data reflecting:

To narrow or expand these criteria:

  1. Click on the "Criteria for sample selection" tab, which appears as a blue bar near the top of the JIFF tab of the Supervisor Dashboard. (See below.)

A box will expand beneath the bar showing search criteria. (See below.)

  1. Alter criteria as desired and click Search. The Supervisor Dashboard will be refreshed with data to reflect the criteria selected.

Note: If you are specifying an "Other" date range with the end date before today, click here for an explanation of what the data will mean, because it may give you different results than you were expecting. Additionally, you cannot export data over more than a three month period. You may specify any time frame that you have data for, but the difference between the two dates cannot be more than three months.

Additionally, for an explanation on how parent items relate to child items in the "Service Area(s) / Program(s)" section, click here.

A Business Administrator may only view Assessment data within the Service Areas and Programs to which he or she has access.

If a client has multiple assessments in the specified timeframe that meet the selected criteria, all of the results will be returned. For example, if a client has two Initial assessments in the last week, and you select "Last Week"/"Initial Assessments" both Initials will be returned. This can be confusing when you see multiple results for the same client in the drilldowns.

It can also be confusing when drilling down to the client dashboard. The Client Dashboard always shows the Most Recent Assessment. If you drill down to an older assessment for a client in the Supervisor Dashboard, then click on the client's name (to view the Client Dashboard), the data on the dashboard will likely be different than the data for the assessment you clicked (because the assessment you clicked on was older and the dashboard is showing the most recent assessment). For example, a high risk goal may be selected on an older assessment, but not on the most recent. Looking at the Supervisor Dashboard's list of Clients with High Risk Goals, you may see the old Assessment. However, when you click on the client's name and go to the Dashboard, the Dashboard will not show any high risk goals because the most recent assessment did not have any high risk goals.

When using the Super Dash, Aggregate reports and Export, only assessments done while the client was in the selected Service Areas/Programs will be returned in the results. This allows you to run a report for given service area and only see clients assessed in that service area/Program (while excluding other service areas/Programs). This, in turn, allows you to Track Outcomes for a given Service Area/Program.

For re-assessments, if the Initial was done in a different Service Area/Program than the re-assessment, the outcome data will still be shown comparing the Re-assessment to the Initial. Note that only change indicators will be shown comparing the Re-assessment to the Initial. The details of the Initial assessment itself will not be available in drilldowns (on Dashboards), nor will the initial assessment count toward the sample size of the Report/Dashboard.

Drill Down by Status

NOTE: Only Business Administrators can view the Supervisor Dashboard and Drilldown Assessment Listings.
Assessment Status With Respect to the End Date Specified

Assessment data is summarized with respect to the end date specified within the "Criteria for sample selection" under the heading "Activity Report". Tallies are shown for three categories (Overdue Assessments, Active Cases With no Activity for 5 months  and Upcoming Assessments next 30 days):

(NOTE: data shown here is for illustration only; some items vary significantly in appearance depending on the selected Client's recent Assessment results and history.)

Where the tally is greater than zero (circled, above) the tally number will link (i.e. "drill down") to a page listing those Assessments that comprise the tally number.

Click here for a detailed explanation of these categories.

Assessment Status With Respect to the Date Range Specified

Assessment data is summarized with respect to the date range specified within the "Criteria for sample selection" in the boxes below the heading "Initial / Most Recent Assessments for Last Month". Status is broken down with respect to Assessments and to Service Plans:

Where the tally for Interrupted (Restartable), Completed, Unfinished or Not Started is greater than zero (circled, above) the tally number will link to a drilldown page listing those Assessments that comprise the tally number.

Click on the tally or percentage of Assessments identified as associated with a certain Status (as shown above) in order to "drill down" and view those Assessments.

Looking at the Overdue Assessments listing - which you link to if you click the tally of Overdue Assessments - you may discover that one or more entries are erroneous, in that their Next Assessment Due dates are wrong and need to be modified.

The Next Assessment Due date for an Assessment can be modified as follows:

  1. Click the Client in the Overdue Assessments listing whose next due date you want modified. This will take you to the Client Dashboard.

  2. Click the "View/Edit Assessment" target icon link on the right:

  3. This will take you to the JIFF - View Interview Findings page for the most recent Assessment for that Client within the selected Measure.

  4. In the Assessment Header bar along the top of the page, click the "Modify Setup Info" link. The JIFF Youth Assessment Setup or Caregiver Assessment Setup page for the selected Assessment will appear, and you can change the Next Assessment Due date.

Drill Down by High Risk, Mental Health or Substance Use Goals

NOTE: Only Business Administrators can view the Supervisor Dashboard and Goal Listings.

Assessments that have High Risk Goals or Mental Health and Substance Use Goals selected are tabulated by Goal in the red and blue boxes respectively:

Goals and their accompanying tallies and percentages will naturally differ from those shown in the examples above and below, depending on Assessment data.

Click on the tally or percentage of Assessments associated with a given High Risk, Mental Health or Substance Use Goal (as shown above) in order to "drill down" and view those Assessments.

View Breakdown of Goals Selected Within a Subscale

NOTE: Only Business Administrators can view the Supervisor Dashboard and Goal Listings.

Subscales appear as buttons near the bottom of the Supervisor Dashboard. (NOTE: you will probably need to scroll down.) Beneath the subscale buttons are percentages of Assessments within the chosen search criteria for which Goals in that subscale have been selected. (See below.)

Click on a subscale button (as shown above) to "drill down" and view Assessments for which Goals have been selected in that area.

If the percentage under a given Goal area button is 0%, that means there are no Assessments with Goals in that are selected, so the button will be inactive.

The tab will expand to show a breakdown of Caregivers' ratings by Youth need, and the percentages of Caregiver Assessments that rate that Youth need a 4 or a 5:
