There are a few key areas to be aware of when troubleshooting your data export:
Date: Be sure you specified the appropriate date range and selected the correct options. Date type tells the program to pull data within the range based on whether an assessment was done or a client was activated or inactivated within the time period. What data gets exported is specified by choosing either "Export Only assessments in time frame" or "Export all assessments for clients". The former option pulls only the assessments in the specified time frame for clients who are found within the search, which will vary depending on the date type selected. Or, you can export every assessment taken by every client that was found within a search. Even if the program is told to only find clients who have taken assessments within the specified time period, if this second option is selected all of the assessments that client has done will still be exported.
Gender: You can leave the gender field on <--Select One--> and it will not filter the export by gender. If you choose male or female only data for males or females will be exported. However when creating a client you have the option of choosing unspecified as the gender. If you choose unspecified in the export, only clients who have been specifically marked as unspecified will be included in the data export.
Service
Area and Program: Be sure you selected the correct Service Areas
and Programs. Expand each Service Area to ensure the proper Programs are
selected.
The treeview method of selecting Service Areas and Programs must be
understood properly. If you check a child item the parent item will also
appear checked, even though all of the
child items are not checked. Glancing over the items it may appear
that all of them are selected if you are looking at the parent items,
however if the child items were selected individually you won't be able
to tell a difference by looking at the parent item if all or only some
of the child items are checked. If a parent item appears un-checked, though,
all of the child items will also be un-checked.
Measure: Make sure you are exporting the correct measure; use the tabs at the top of the screen to change measure.
No data to export: If you received the "No data to export" status message and you are certain your criteria are correct, research your data within FAS Outcomes to make sure there is data to be exported. It may be that there really isn't any data and you are selecting your criteria correctly.
